This policy covers the SIMS Plus web application and the Hodari SIMS Plus mobile app. It explains what we handle, why, who else sees it, and what you can ask us to do about it.
SIMS Plus is a school information management platform operated by Hodari Technologies Ltd. ("Hodari", "we", "us"), a company registered in Ghana. It is delivered as a web application at simsplus.io and as the Hodari SIMS Plus mobile app for Android and iOS.
Responsibility is split, and the split decides who you should approach about what:
In practice: a request about a child's record goes to the school first, because the school is the one entitled to decide it. We will always help, and we will tell you if we are not the right recipient rather than leaving the request unanswered.
We process personal data in accordance with the Ghana Data Protection Act, 2012 (Act 843).
The app asks for the following, and each is used for one stated purpose and nothing else. Every one of them can be declined, and the app keeps working without it.
SIMS Plus holds records about children, including children under 13. It is not a product for children to use: it is a tool for schools, and every account is issued by a school to a member of staff or to a parent or guardian. The app is not directed to children and is not distributed as a children's app.
Records about a child are entered by the school, on the school's lawful basis and with the consent the school obtains from the family. We do not collect anything from a child directly, and we never use a child's data for advertising, profiling, recommendation or any purpose of our own.
Where a school records photographs of children, those images are visible only to the child's own teachers and their own family within that school, and to nobody else.
Every school on the platform is isolated from every other at the database level using PostgreSQL Row-Level Security, so a query made on behalf of one school cannot return another school's rows even if the application above it were at fault. Within a school, access is further limited by role: a teacher sees the classes they are assigned to, the bursary sees fees, and a parent sees only their own children. Access to records is recorded in an audit trail.
We use a small number of service providers to run the platform. Each receives only what it needs to perform its function, is bound by contract to protect it, and may not use it for its own purposes.
We may also disclose data where the law requires it, or to establish or defend a legal claim. We will tell the affected school unless we are prohibited from doing so.
No system is perfectly secure. If a breach affects your data we will notify the affected school without undue delay, along with the Data Protection Commission where the law requires it.
School records are kept for as long as the school's subscription is active, because a school needs a pupil's history for years after they leave. Some records — financial and academic ones in particular — must be retained to meet legal and audit obligations even after a request to delete them.
When a subscription ends, the school's data is kept for 90 days so it can be exported or the account reinstated, and is then permanently deleted. Backups roll off within a further 30 days.
Deleting your account. Because your school issues and owns your account, ask your school administrator to remove it — they can do this immediately, and it ends your access at once. If you would rather not go through your school, or your school is no longer reachable, write to privacy@simsplus.io and we will action it and confirm in writing. Deleting an account removes your ability to sign in and your personal profile; records you created on the school's behalf remain the school's, for the reasons above.

Exercise any of these through your school, or write to privacy@simsplus.io. We respond within 30 days, and we will not charge you for a first request.
Our infrastructure is hosted with Amazon Web Services, and data may be stored and processed outside Ghana, including in the United States and the European Union. Where data leaves Ghana we rely on contractual safeguards with our providers that hold them to a standard of protection equivalent to that required by Act 843.
We will update this page when our practices change, and the date at the top always reflects the current version. Where a change materially affects how personal data is handled, we will tell participating schools directly rather than relying on you to re-read this page.
